Terms and Conditions

By signing the registration form you agree to the following terms and conditions:

1. Registration fee and minimum sponsorship:

2. All participants must submit 50% of the required minimum sponsorship stated in 1. to Friends of the Earth on or before 6 April 2013 (three weeks prior to the challenge date). These payments will cover the cost of participating in the bike ride.

3. The balance must be paid to Friends of the Earth within four weeks following the challenge date (on or before 25 May 2013).

4. All funds raised in the name of Friends of the Earth must be paid as soon as practicable to Friends of the Earth.

5. The participant is responsible for keeping a record of their sponsorship totals.

6. If the participant is unable to reach the minimum sponsorship target they will forfeit their place on the ride unless they make up the balance themselves.

7. It is the responsibility of the participant to inform all potential sponsors that a percentage of their sponsorship money will go towards the cost of the ride. The cost of weekend challenge is estimated at £195. The cost of the one-day ride is £85.

8. If a participant is unable to take up their place, their sponsors must ask Friends of the Earth for a refund in writing (email or letter) before we can return their monies to them.

9. In the event that Friends of the Earth cancels the challenge participants' sponsors must ask Friends of the Earth for a refund in writing (email or letter) before we can return their monies to them.

10. Participants must be at least 14 years old on the day of departure to take part in the challenge. All participants under the age of 18 must be accompanied by a responsible adult. If the adult has to withdraw, he or she can be replaced up to 13 April 2013. If no replacement is found, the child cannot ride and will forfeit their place.

11. Participants under 18 must have permission from a parent/guardian. A consent form will be provided by Friends of the Earth for completion. Where a participant is under 18 years old the accompanying adult is responsible for the entrance fee and minimum sponsorship amount.

12. All participants take part at their own risk. Participants must acknowledge that the event is physically strenuous and they are aware of the associated medical and physical risks.

13. Participants are fully responsible for their actions whilst attending the event. Friends of the Earth does not accept responsibility for the actions of participants nor the consequences of such actions.

14. The participant agrees that they are physically capable of completing the event. The event organiser, its officers, employees, agents, affiliates, associated companies, sponsors or medical advisers are not responsible for any injury or illness that a participant may suffer as a result of their participation.

15. Friends of the Earth advises participants to have a medical check-up before cycling and to abide by any advice that might be given as a result of such check-up.

16. Friends of the Earth does not accept any liability for illness or injury on the Big Green Bike Ride. Participants must be satisfied that they do not have any medical conditions which could be a danger on the event.

17. Participants need to be healthy, fit and well trained. You should consult a doctor if you have any doubts about your suitability to participate in this challenge and abide by any advice given.

18. Participants will inform Friends of the Earth of any existing medical conditions during the registration process. Friends of the Earth may request you to complete an additional medical questionnaire and we may request a medical certificate from your doctor.

19. Each participant, upon signing the registration form, agrees that they are physically and mentally capable of riding the distance they have chosen. If, during the event, they decide to change their route and distance, all consequences of their actions are the participant's own.

20. Participants must inform Friends of the Earth of any medical conditions that develop after they have submitted their medical information before taking part in the ride.

21. Participants over 65 on the date of departure must complete a full medical form (provided by Friends of the Earth) and get a doctors certificate to take part.

22. If whilst on the challenge the medic or challenge leader gives you specific safety or medical advice aimed at protecting your own welfare you will abide by this advice.

23. It is mandatory that all riders wear a cycling helmet during the challenge. Any rider not wearing a helmet will not be covered by the event insurance and will be disqualified from the event.

24. It is the participant's responsibility to provide and use a roadworthy bicycle. Friends of the Earth reserves the right to refuse entry to anyone with inappropriate equipment or clothing.

25. During the event there will be warning signs at appropriate points on the roads. Absence of these signs does not signal there are no dangers approaching and it is the individual rider's responsibility to make a decision regarding whether to ride a section or not.

26. The marking of the route does not necessarily indicate that the road is rideable and the participant is deemed to make their own decision about whether to proceed on bike, foot or not at all.

27. You must obey all Highway Code rules. You are requested to ride in single file where appropriate and no more than two abreast at any time. Please be aware of your fellow cyclists and any other traffic. Please always indicate your intention to stop or change direction.

28. The participant agrees to report to a member of staff at each check-in point. Not doing so will mean that a search may be organised and the subsequent cost will be billed to the rider.

29. The event organiser may introduce cut off times (being limits on the time taken to complete sections) as they see fit to ensure the safe and proper running of the event. Subsequently, competitors may be transported by vehicle to the next section or to re-join the main group. These decisions are at the event organiser's discretion.

30. The event organiser reserves the right at any time to remove participants from the event if they considers such action necessary for safety reasons or the proper enjoyment of the event by other participants or for any other reasonable reason. It is the event organiser's sole discretion.

31. While the event organiser takes every care with the staging of the event, the participant acknowledges that personal accident and personal items insurance are his or her sole responsibility.

32. Friends of the Earth strongly recommends that you have adequate third party liability insurance in case you are involved in an accident or incident whilst on this event. We also strongly recommend you take out bike insurance for the event.

33. All decisions and rulings by the event organiser, its employees and its agents are considered final. Accordingly, the participant will comply with all event rules, instructions and guidelines given by stewards, guides, and safety personnel.

34.The participant accepts that any mechanical support received on their bike from organisers, participants or other third parties is at the participant's own discretion and they will not hold anyone else responsible for any subsequent bike malfunctions or resulting injury.

35. The participants accepts that should their bike be transferred in any vehicle during the event, such as the sweep vehicle, they accept it is placed and transferred in the vehicle at their own risk and the organisers are not liable for any damage caused during this process.

36. All itineraries and routes are subject to change. Our challenges are planned many months in advance and sometimes there may be minor changes to your itinerary.

37. Friends of the Earth reserves the right to shorten or alter the published route at any time. The participant acknowledges and accepts that circumstances concerning the event may change from time to time for reasons out of the event organiser's reasonable control. Friends of the Earth are not liable for these changes.

38. Friends of the Earth does not accept liability for any delays in your travel arrangements, or reasonable changes to your itinerary in the event of Force Majeure. Force Majeure means any unusual or unforeseen circumstances beyond our reasonable control including but not limited to an act of God, war, accident, failure of power supply, abnormal weather, fire, explosion, labour disturbance, flight delays, bad weather, or the issue of any travel advice by the Foreign and Commonwealth Office advising against travel to any destination included within your challenge.

39. All transfers to the start of the event are at the participants' own responsibility and expense. Friends of the Earth is offering optional return transport from the New Forest to a south-west London location for both themselves and their bike. There is  a £25 supplement for this service. If participants do not choose this option, they are responsible for their own return transport.

40. Friends of the Earth reserves the right to use any photographs or videos of participants on behalf of the Charity to raise awareness of and/or funds for Friends of the Earth.

41. We will try to accommodate your special requirements but we cannot guarantee that these will be provided and any failure in this respect will not constitute a breach of these terms and conditions by us.

42.  Law and jurisdiction: These terms and conditions shall be governed by and construed in all respects in accordance with the laws of England and Wales. Any dispute which may arise between the parties concerning these terms and conditions shall be exclusively determined by the English Courts.
