Role: Executive Assistant

Home team : Organisational Coordination Team

Purpose of role: To maximise the effectiveness and impact of the Director by

Working closely with the Director to manage his/her time and priorities and to provide high quality research, briefing and project support across the range of his/her responsibilities.

Providing effective support to the Director's Office, the Organisational Management Team, the Boards and the England team through management of the Organisational Coordination Team.

Reports to: Executive Director

Required to perform a combination of the following, depending on team/unit and experience:

Deliver outcomes:

Actively anticipate the demands on the Director's time and his/her needs and priorities. Manage these demands by liaising closely with the Director and working with a range of internal and external stakeholders.

Ensure that the Director is fully briefed and prepared for all meetings and engagements and provide research support as necessary. Take responsibility for aspects of the Director's work and projects where appropriate to allow him/her to focus on agreed priorities.

Ensure that the Director is kept informed of organisational developments, issues and successes and facilitate communications between the Executive Director, Organisational Management Team, Boards and Staff. Quality assure communications produced in the Director's name.

Manage the Organisational Coordination Team to ensure that the ED, Organisational Management Team and the Boards and Committees of Friends of the Earth are effectively and actively supported. This includes managing monitoring and reporting against organisational plans and the management or coordination of organisational projects. Take responsibility for team progress and outputs against plans.

Take responsibility for delivering the project objective for smaller scope projects that may involve a project team, acting as manager to the members of the project team with respect to project work and ensuring planning, budgeting (if needed), monitoring, internal communications and reporting on the project in accordance with Project Management Guidelines.

Develop others:

Lead and motivate staff. In line with our best practice management standards, supervise regularly, monitor and appraise, coach and support individual development.

Build relationships:

Build a network of strong working relationships and contacts with a wide range of individuals and organisations on behalf of the Director. Deal sensitively and diplomatically with a range of people and issues and exercise judgement in deciding how and when to refer issues on. In all contacts, build a positive image of the Director, the Directorate and Friends of the Earth, whilst working discreetly and maintaining confidentiality.

Ideas and solutions:

Actively seek, agree and implement initiatives to maximise the impact of the Director and minimise the administrative burden and pressures on his/her time. Take the initiative and make decisions to ensure that the Organisational Management team and Boards are effectively supported.

Focus team expertise on analysis of issues within own work area to generate realistic and risk-assessed solutions.

Expertise:

Needs to have:

Experience of staff management and leadership.

Proven experience of writing papers, briefings and correspondence and of researching and collating information.

Proven ability to develop wide networks of contacts and to work cooperatively with people from different organisations and backgrounds, including senior managers/directors.

Proven experience of dealing confidently and calmly with demanding work in a pressurised environment.

Proven ability to anticipate, interpret and act upon permanent and changing priorities.

Proven experience of developing, implementing and managing organisational processes/systems.

Sound vocational experience, degree of professional qualification with relevant work experience.

Focus of expertise:

Providing comprehensive support to the Executive Director; managing the organisational coordination team to ensure that the Director, Organisational Management Team and Boards are provided with an effective service.

Called upon by others to provide credible advice on specialist area and to harness the energies of others

Focus of development:

Anticipating and planning for changing issues and situations both within the organisation, and those externally that impact upon Friends of the Earth and the Director's work.

Available for some weekend / evening or overseas meetings.
